Digital Search Group Ltd ("SEORUK", "we") is the data controller for personal data collected through this website and partner portal. This policy explains what we collect, why, and the rights you have under UK GDPR and the Data Protection Act 2018.
What we collect
- Account details: name of your agency, work email, password (stored encrypted), branding and team members.
- Order and brief details: client names, websites, keywords, files and contact details you give us to deliver the work.
- Payment records: invoices and payment status. Card details are handled by Stripe and never reach us.
- Communications: support tickets, emails and booked calls.
- Technical data: essential cookies and server logs needed to keep the service secure.
Why we use it and our lawful basis
- To deliver orders you buy: performance of a contract.
- To issue invoices and keep financial records: legal obligation.
- To secure the platform and prevent fraud: legitimate interests.
- To send marketing emails, only if you opt in: consent, which you can withdraw at any time.
Client data you send us
When you share details about your own clients in a brief, you are the controller of that data and we act as your processor. We use it only to carry out the work you order, and you confirm you have the right to share it with us.
Who we share it with
Trusted providers who help us run the service: Stripe (payments), our hosting and database provider, our email delivery provider, HubSpot (customer records), and Calendly (only if you book a call). Some providers process data outside the UK under approved safeguards such as UK International Data Transfer Agreements. We never sell personal data.
How long we keep it
Account and order data is kept while your account is active and for up to 2 years after. Invoices and payment records are kept for 6 years to meet HMRC requirements. Marketing consent records are kept until you withdraw consent.
Your rights
You can ask to access, correct, delete, restrict or move your data, and object to how we use it. Signed-in partners can download their data and request deletion from Privacy & data in the portal. Anyone can also email joe@digitalsearchgroup.com. We reply within one month.
If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
